Short Close of Returnable Delivery Challan General

This option allows to Short Close an existing General Delivery Challan provided it is Returnable and Authorized.

While Short Closing a Delivery Challan, IMMS will also check if any material has already been received against it through GRN Entry for Delivery Challan option of Stores And Inventory Module. IMMS will check the following -

• In case partial quantity has already been received against the Delivery Challan, than the quantity that is pending to be received will be Short Closed.
• In case full quantity has been received against the Delivery Challan, than the Delivery Challan can not be Short Closed.
• In case no material has been received at all against the Delivery Challan, than the Delivery Challan will be Short Closed for the full quantity.

Once a General Delivery Challan is Short Closed, IMMS will update stock automatically by crediting the Delivery Challan Asset Account and Debiting the Miscellaneous Consumable Account with material value. Where material value is calculated as Short Closed Quantity * Delivery Challan Inventory Rate

Year:

Current financial year will be displayed by default. You can NOT change it.

 

Group:

Denotes the Group of Short Close of Returnable Delivery Challan.

 

Please note that the Group which has been specified as default for the selected financial year through Document Control Master option in Administrator Toolswill be displayed automatically.

 

You can change it by clicking on the field o access a list of already defined Short Close of Returnable Delivery Challan Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by clicking on it. Alternatively you can also enter the Group Code.

Site:

Denotes the Site of Short Close of Returnable Delivery Challan.

 

By default the Site if any specified with the selected Short Close Delivery Challan Group will be displayed automatically.

 

Click on the field to access a list of already defined Sites. Select your desired Site from the list clicking on it. Alternatively you can also enter the Site Code.

Please note that the Site(s) will be displayed/accepted as per the following conditions - In case the 'Site Required?' flag is 'On' through Document Control Master option in Administrator Tools Module, then only those Sites will be displayed which have been linked with the selected Year and Short Close Delivery Challan Group. In case the 'Site Required' flag is 'Off', then all the Sites that have been defined for the current Company through Site Master option of Administrator Tools Module will be displayed.

Number:

(Type : Alphanumeric, Length : 6)

Denotes the Number of Short Close Returnable Delivery Challan.

 

Short Close Returnable Delivery Challan Number is either generated automatically or entered manually by the user.

 

Generation of Short Close Returnable Delivery Challan Number is a flag driven option and depends upon the setting of flag 'Auto Number Generate Required' through Document Control Master option in Administrator Tools Module. Click here to read more about the flag...   If the flag is 'On', a new Short Close Returnable Delivery Challan Number will be automatically generated by the system and incremented by one for current financial year.   If the flag is 'Off', the User can enter a unique Short Close Returnable Delivery Challan Number manually. The system also ensures that the Number entered is a unique one.

Date:

Specifies the Date of Short Close of Returnable Delivery Challan.

Today's date will be displayed by default. You can change it but it should not be before the Current Period Start Date and should not be later than the Current Period End Date. Press <TAB>.

Year:

Group:

Denotes the Group of Delivery Challan that has to be Short Closed.

 

Click on the field to access a list of already defined General Delivery Challan Groups for the entered Year though Document Control Master option in Administrator Tools Module. Select your desired Group from the list by clicking on it. Alternatively you can also enter the Group Code.

 

Please note that only those Groups will be displayed under which Returnable Delivery Challans already exist and some material is still pending to be received against it.

 

Site:

Denotes the Site of Delivery Challan that has to be Short Closed.

 

Click on the field to access a list of already defined Sites. Select your desired Site from the list by scrolling down to it and pressing <ENTER>. Alternatively you can also enter the Site Code.

Click on the field to access a list of Delivery Challan Numbers already created for the selected Year, Group and Location through Delivery Challan Entry General option. Select your desired Number from the list by clicking on it. Alternatively you can also enter the Delivery Challan Number. Press <TAB>.

 

Please note that only those Delivery Challans will be displayed/accepted that - are returnable have been Authorized through Delivery Challan General Authorization option. have some quantity pending to be received through GRN.

Remark:

Enter Remarks, if any, related to the short closure of the Delivery Challan.

Once entered, click on 'Save' button to finally Short Close the selected Delivery Challan or 'Cancel' to discard.
